Everyone's talking about AI. Most tradies don't know where to start — and a lot of what they're being sold isn't worth the subscription. Here's an honest breakdown of what actually saves time for WA contractors and sole traders right now.
Table of Contents
TLDR
AI isn't going to replace your trade. It's going to replace the paperwork.
The single biggest win most tradies can get this week costs nothing: voice-to-text on your phone.
AI tools on top of broken systems just creates faster chaos — get your workflows sorted first.
You don't need 15 tools. You need two or three that you actually use.
Why Everyone Is Suddenly Talking About AI for Tradies
Open any tradie Facebook group this year and you'll see it. AI phone answering. AI quoting. AI that runs your whole business while you're on the tools.
The claims are loud. The price tags are real. And most tradies are somewhere between curious and quietly overwhelmed — because the advice online tends to come from people who are trying to sell you something.
So let's cut through it.
Australian small business owners spend up to 15 hours a week on administration. That's nearly two full working days every week spent not billing. Source: Australian Small Business and Family Enterprise Ombudsman For a tradie charging $80 to $120 an hour, that's a significant chunk of lost revenue — and it's the problem AI is genuinely well-suited to solve.
But "AI can help with admin" and "you need 15 AI tools and a custom workflow" are very different claims. The first one is true. The second one is mostly noise.
What AI Actually Does Well (And Why It's Not What the Ads Say)
Here's the honest version: AI is excellent at repetitive, predictable tasks that follow a pattern.
Writing the email you've written 40 times before. Turning job notes into a quote. Sending a follow-up reminder. Answering the same three questions every new client asks. Prompting a completed client to leave a Google review.
These tasks feel small. But they add up to hours every week — hours spent at your kitchen table instead of somewhere else.
What AI does not do well is anything that requires your actual trade knowledge. It can't diagnose a leak, spec a switchboard, or assess why a slab cracked. It can't replace your judgement on a job site. And it absolutely cannot build your business systems for you — if your quoting process is messy, an AI quoting tool will just make it faster and messier.
That last point matters more than any tool recommendation in this article. AI amplifies what's already there. If your workflows are solid, AI makes them faster. If your workflows are broken, AI creates faster chaos. The businesses getting the most out of AI right now are the ones that already had their processes sorted. (More on this at the end.)
The Free Wins You Can Set Up This Week
Before you spend a dollar on AI tools, there are two things you can do right now that cost nothing.
Voice-to-text on your phone.
This is the single biggest time-saver most tradies have never tried. Instead of typing up job notes at the end of the day — or worse, leaving it until Friday and trying to remember what happened on Tuesday — talk into your phone while you're still on site.
Google's Gboard and Apple's dictation are built into every smartphone. Free. Already there. Works immediately.
Job notes. Client updates. Follow-up emails. Quote descriptions. All of it goes from your head to text in real time, while you're still in the van, without sitting down at a keyboard.
Try it once and you'll wonder why you weren't doing it sooner.
ChatGPT for email templates.
The free version of ChatGPT is genuinely useful for one specific thing: writing the emails you send repeatedly — once, properly — so you never have to write them from scratch again.
Your quote follow-up. Your job booking confirmation. Your "running 30 minutes late" message. Your invoice reminder. Your post-job review request.
Spend an hour writing templates for all of those. Save them in your notes app or job management platform. Customer communication goes from ten minutes to thirty seconds.
Free. No subscription required. Just the habit of using it.
The Tools Worth Paying For
Once you've used the free tools and you're ready to go further, these are the options that consistently earn their subscription cost for WA tradies.
A job management platform with AI built in.
This is the most important tool in any tradie's stack — and it's worth saying, because most of the AI features being sold as standalone products are already built into platforms like ServiceM8, Tradify, and Fergus.
Automated quote follow-ups. Reminders to clients before a job. Invoices that trigger when a job is marked complete. Review requests sent automatically after a job closes. These aren't new, complicated AI features — they're what a good job management platform does, and they've been getting smarter every year.
If you're still running your business from a combination of texts, spreadsheets, and memory, a job management platform is not an "AI upgrade." It's a foundation. Everything else builds on top of it.
For sole traders and small teams, ServiceM8 (from $29/month) or Tradify (from $39/month per user) are the most practical starting points in Australia. Both integrate with Xero and MYOB. Both work from a phone on-site. Both have more built-in automation than most tradies ever use.
AI phone answering — if you're losing leads.
The case for this one is simple: if a homeowner calls you at 7pm and you don't answer, they call the next tradie on Google's list.
AI phone answering services take the call, collect the details, book a time slot, and send you a text summary. By morning, the job is already in your calendar.
Cost runs from around $100 to $300 per month depending on call volume. The question is whether you're currently losing leads to missed calls. If you're confident you're not — skip it. If you suspect you are, especially after hours, it pays for itself quickly.
Automated review requests.
Google reviews are one of the most reliable ways WA tradies win local work. A tradie with 50 reviews will consistently beat a competitor with 5, regardless of who does better work. That's just how people search and decide.
Most job management platforms include automated review requests as a feature — a message goes to the client after the job is marked complete, with a direct link to your Google profile. Set it up once, and it runs without any input from you.
Tradies who implement this typically see their review count increase significantly within the first six months. Source: Flowtivity If your platform doesn't include it, it's worth a simple Zapier automation to connect the two.
What's Mostly Hype Right Now
AI quoting tools that "learn from your history."
The promise sounds compelling. In practice, these tools need a lot of structured historical data to become genuinely accurate — and they work best when your pricing is already well-documented and consistent. If you're quoting from experience and instinct (which most tradies are), the AI quoting layer needs a solid foundation before it adds real value. The platforms that do this well — Buildxact, simPRO — are also more complex, better suited to businesses running multiple concurrent projects or larger teams.
All-in-one CRM platforms sold as "AI business management."
Platforms like GoHighLevel are powerful. They are also genuinely complicated to set up properly, and most tradies who sign up end up paying a monthly subscription for a tool that's sitting 90% unused. These make sense for businesses with dedicated marketing workflows and someone to manage them. For most sole traders and small teams, the complexity outweighs the benefit at this stage.
Trying to implement 15 tools at once.
Every article about AI for tradies lists 12 to 15 tools you apparently need. The reality is that most tradies who try to implement too many things at once revert to their old way of working within a month. Pick one or two tools, build the habit, and add more once those are working. A staged approach beats an ambitious one every time.
The Thing No One Tells You About AI and Your Business
Here's what the glossy AI roundups leave out: tools don't fix processes.
The tradies genuinely benefiting from AI right now are the ones who already know their workflows. They can say clearly: here's how a job comes in, here's how it gets quoted, here's how it gets scheduled and invoiced and followed up. AI plugs into those handoffs and makes them faster.
If you're not sure what your workflows actually are — or you know they're inconsistent — adding AI on top creates faster inconsistency. The quotes still go out slow. The follow-ups still get missed. It just happens with a slightly shinier tool.
That's not a reason to avoid AI. It's a reason to sort your operations first, so that when you do add AI, it actually works.
The tradies who'll still be talking about their AI tools six months from now — and not reverting to the spreadsheet — are the ones who built on a solid foundation before they started stacking technology on top of it.
